Understanding Seat Cancellation

When a company admin cancels seats in your UAS Mission Portal subscription, the system automatically synchronizes the seat count with your actual active users to ensure accurate billing.

What Happens During Seat Cancellation

The seat cancellation process follows these steps:

  1. Seat Synchronization: The system first syncs your current seat usage to capture the exact number of active users (both admin and regular users)
  2. Proration Calculation: Stripe automatically calculates any prorated charges based on the subscription period
  3. Immediate Invoice: An invoice is created for any outstanding prorated charges
  4. Payment Processing: The system attempts to charge the payment method on file
  5. Cancellation Completion: If payment succeeds, the subscription is cancelled at the period end

Canceling More Seats Than Active Users

Important: You cannot cancel more seats than you actually have. The system counts your active users automatically:

  • Active Admin Users: Company admins (excluding super admins) with active or default status
  • Active Regular Users: All non-admin users with active or default status
  • Excluded from Count: Paused users, removed users, and global super admins

The cancellation process will reduce your billed seats to match your actual active user count. If you have 5 active users, you will be billed for 5 seats regardless of how many seats you previously had.

What If Payment Fails?

If the payment for prorated charges fails:

  • The cancellation will not proceed
  • You'll receive an error message asking you to update your payment method
  • You'll be redirected to the billing portal to add a valid payment method
  • Once payment succeeds, you can complete the cancellation

Managing Users to Reduce Seats

Company admins can manage users to reduce seat usage:

  1. Go to Company Admin Dashboard
  2. Click Manage Pilots
  3. For each user you want to remove or pause:
    • Pause: Click the pause button to temporarily deactivate (stops billing but preserves data)
    • Remove: Click the remove button to permanently remove the user
  4. The system will automatically sync your seat count and update billing

Plan Limits

  • Pro Plan: Maximum of 5 users total (admins + regular users)
  • Teams Plan: Unlimited users with separate billing for admin and regular seats
  • Super Admin Plan: No billing or seat limits
